How does the online system work?
We take care of everything: we take the photos, upload them to the platform and provide unique codes for families to buy directly, without the school handling orders or payments.
What are the advantages of this system for the school?
Reduced administrative burden: the school does not need to manage orders or payments. When required by the school, we can also facilitate the automatic integration of images into school management systems such as iSAMS, Alexia, Educamos or similar, reducing the time spent on administrative tasks.
How does the photo day work with FotoSmart?
We offer you a smooth and fully coordinated photo day: our team arrives in advance, sets up the studio, does the individual student sessions, staff portraits and group photos, and finishes everything efficiently, without interrupting classes.
Can we continue to offer the traditional system of paper photographs?
Yes, we offer both options. You can choose online photography, traditional photography or a combination of both depending on what works best for your school.
How do we guarantee the privacy and security of photographs?
Each pupil has a unique code that only their parents or guardians can use to access their images. We are GDPR compliant and use encrypted storage; data security is our priority.
What printing and downloading options are available?
We offer several options for you to choose from: high quality digital downloads, prints in different sizes and formats, as well as special packs and products to preserve and share memories.
How long does it take for orders to arrive?
It depends on the type of product: If you only choose individual photos, they are uploaded to the platform within 72 hours and parents can view and buy them online. If there are also group photos, they are uploaded in about a week. Once uploaded, parents have two weeks to place their orders. After that, all photos are mailed with tracking and arrive within 5 to 10 working days. Digital downloadables are available immediately upon purchase.
Can I place an extra order after the end of the course?
Yes, as long as the photos are available on the platform. If there are also group photos, they will be uploaded in about a week. Once uploaded, parents have two weeks to place their orders. After that, all photos are mailed with tracking and arrive within 5 to 10 working days. Digital downloadables are available immediately upon purchase.
Is the online payment system secure?
Yes, payments are processed securely using the encrypted Stripe platform.
How much time should we plan per class?
On average, 10-15 minutes per class, depending on the age group and class size.
Do teachers need to help during photo shoots?
Your participation will be minimal: you just accompany the class to the photography area. We will take care of the poses, organisation and timing.
Do you take care of the planning of the photo day?
Yes, we create a personalised timetable with you that fits in with your school routine and avoids the busiest times of the day.
How do students access and purchase their photos?
Students always ask us this on the day of the shoot, they are so excited to see their photos! We use a secure online gallery with a unique code for each student. Once the photos are edited, students and families can access and select their images.
What security and privacy measures do you follow?
We are GDPR compliant, use encrypted storage and never share photos publicly. Access is always private and protected with code.
Does the school need to manage orders or money?
No. Everything is managed online through FotoSmart.
Do you offer group photos of the class?

No. FotoSmart is free of charge for the school. Families buy the photos directly online.

Yes. As well as individual portraits, group photos and staff portraits, we cover school sports, events, graduations and traditional class composite portraits, working around each school's calendar.
For families
How can I view and purchase my child's photos?
On the day of the photo shoot you will receive a QR code and a unique code to register. Once the photos have been edited and are ready, you will receive an email with access to the gallery, where you can view, select and purchase the images using your unique code.
What printing and downloading options are available?
We offer many options for you to choose what you like best. You can download the images in high quality or order prints in various sizes and formats. We also offer packs and different products, so you have many options when it comes to preserving and sharing your photos.
How long will my order take to arrive?
Delivery times vary according to the type of product selected. If the school has opted for individual photos only, these are digitally uploaded to the platform within 72 hours, and parents will be able to view and purchase them online. If the school has also chosen group photos, the photos are digitally uploaded in approximately one week, ready for parents to access. Once the photos have been uploaded, we allow two weeks for parents to make their purchases. All photos are then mailed with tracking to the school and delivered within 5-10 working days. Digital photos are available immediately after purchase.
Can I place additional orders after the school year ends?
Yes, as long as the photos remain available on our platform.
